Academic Information Management and Support (AIMS) Unit

AIMS Coordinator

The Academic Information Management and Support (AIMS) Unit was established in June 2021 in order to handle students and academic staff data.

The Unit handles all processing of the academic data, including admission, registration, certificates, examination, timetabling, transcripts, academic staff data, and support users. The Unit also manages and maintains the information systems handling students and academic staff data.

 

Functions of AIMS

  1. Processing and maintaining Students and academic staff Information systems
  2. Printing transcript, partial transcript, and other related documents.
  3. Preparation and management of university timetable.
  4. Designing, developing, and maintaining various systems, including certificates, graduation, and academic staff, classroom and lab services, and other tools to support learning
  5. Supporting system for users on their day-to-day activities.
  6. Designing and developing all academic-related management information systems such as research projects, publications, technology transfer registry, special projects monitoring, field practical training, academic skills mapping, etc.
  7. Integration of data and information on academic affairs

 

Structure
AIMS Unit is led by the Coordinator who is appointed by the Deputy Vice Chancellor (Academic, Research and
Consultancy) – DVC (ARC).

 

Duties of the Coordinator

  1. Work on systems reports auditing and follow-ups for unique queries from the administration.
  2. Provide administrative linking, technical support, and coordination to the Units.
  3. Evaluate user needs and system functionality, ensuring that Information Systems meet up-to-date needs.
  4. Organize and coordinate the purchase of state-of-the-art hardware, servers, and software.
  5. Assist the DVC (ARC) and management to organizational policy regarding Information System quality standards and strategic planning

AIMS Unit sections:

AIMS Unit consists of five sections as follows:

  1. Academic staff Information Management Section (ASIMS)
  2. Admission and Registration Information Management Section (ARIMS)
  3. Certificates, Examination, timetabling and Transcripts Section (CETTS)
  4. Teaching Infrastructure Information Management Section (TIIMS)
  5. Systems Support Section (SSS).

Functions of the Sections Under AIMS
The above five sections have the following functions:-

  1. Systems Support Section (SS section)
    This section deals with:-
    1. Provision of technical support to the sister section.
    2. Optimization of the system on scalability and availability, add modules and other relevant software systems.
    3. Oversee AIS research, evaluation, and design that would improve services and changes of the technology.
    4. Implement technology, directing the work of the systems and systems analysts, developers, support specialists, and other computer supporting staff
    5. Schedule upgrades and backups of hardware and software systems
    6. Audit the systems for performance and security
    7. Resolve and handle all technical issues of software systems development, security monitoring, and database management systems.
    8. Develop visualization systems of data for University Management that show data and future trends
  2. Academic Staff Information Management Section (ASIMS)
    This section deals with:-
    1. Managing and Supporting the internal systems for processing “in-house” academic staff data and information, including publications, applications for part-time lecturers, applications for study leave, and various performance assessments.
    2. Support information systems for research projects, research tools inventory registry, publications, technology transfer, and consultancy
    3. Manage online system to search and report on professional and creative work of the academic staff, postdocs, and other SUA researchers
  3. Admission and Registration Information Management Section (ARIMS).
    This section deals with:-
    1. Support registration and admission process for both undergraduate and postgraduate students.
    2. Manage the e-learning system
    3. Maintain the information support systems SUASIS, and other student-related systems
  4. Teaching Infrastructure Information Management Section (TIIMS)
    This section deals with:-
    1. Supporting classrooms and Labs digital infrastructure
    2. Manage teaching infrastructure and inventory information system
    3. Monitor the operations and maintenance of information of all the digital teaching infrastructure
  5. Certificates, Examination, Timetabling, and Transcripts Section (CETT Section)

This section will deal with:-

    1. Support processing of examination results.
    2. Generate examination reports, transcripts, certificates, and other requested reports on individual students or groups.
    3. Processing of the timetable.
